Med spa booking softwarefor consultations and follow-ups

A med spa books consultations, treatments and follow-ups for several providers, and every first visit starts with paperwork. Luvira handles the booking and front-desk side: clients book online, answer intake questions and sign the aesthetic treatment consent before they arrive, and photos stay in a private client record. It is not an electronic health record, and we say so plainly below.

Sound familiar?

Front desk overload before the first treatment

Where med spa schedules and paperwork pile up.

01

Consult requests by phone

“When can I come in to talk about it?”

Callbacksall afternoon

Many first visits start as a consultation request. If they wait for a callback, some never come in.

02

Providers and rooms

“Which provider is in on Friday?”

Severalcalendars to juggle

Every provider has different days and treatments. A booking that ignores that lands in the wrong slot.

The good news?

Booking, intake and photos handled — before the client walks in.

03

Paperwork in the lobby

“Has she signed the consent yet?”

Clipboardten minutes late

Intake and consent filled in at check-in delay the schedule and are easy to misfile.

04

Follow-ups forgotten

“Did she book her two-week check?”

No checkno comparison

Results take days to weeks to show. A missed follow-up means no photo and no conversation about the result.

What Luvira is — and is not — for a med spa

Luvira is booking, client records, intake and consent forms, photos and your website. It is not an electronic health record, it is not built or offered as a HIPAA-compliant system, and it does not handle insurance billing or prescriptions.

Whether HIPAA applies to your med spa depends on how you operate. If it does, talk to your compliance advisor before you store protected health information in any booking tool, including this one.

The aesthetic treatment consent template

Luvira includes a general consent template for aesthetic treatments performed by a licensed provider under the supervision your state requires. It describes typical reactions, situations in which treatment is not performed, and aftercare. Clients sign it digitally, and the signed wording and version are stored with their record.

The template is a starting point, not legal or medical advice. Your medical director and your state’s rules decide what your forms must say.

A schedule for several providers

Each provider has their own calendar, working days and time off. Clients can book a specific provider or the earliest opening. Consultations, treatments and follow-ups each block their real length, and you can require your team to confirm bookings before they are final.

Luvira is a booking and client-record tool, not a medical record system, and makes no HIPAA claim. Consent templates are general templates, not legal or medical advice; medical spa rules differ by state.
