Add andimport clients
There are four ways into your client records: clients who book online are added by themselves, you can add anyone by hand, a CSV file from your old software can be imported in one go, and the screenshot import reads contacts from pictures of another app.
Where to find itClientsClients
Clients who book online
Every online booking is matched to your records by email address. A known address gets the new appointment on the existing record; an unknown one creates a new client with name, email and phone from the booking form. There is nothing to approve.
Add a client by hand
Open the client list
Choose Clients → Clients and select “+ New Client”.
Enter the details
Fill in name and contact; address, notes and further details have their own tabs in the same window.
Save
The client is searchable straight away and can be picked in the calendar.
From the calendar it works the other way round: type a new name into an appointment and choose “Save as new customer”.
Import a CSV file
Most booking apps and spreadsheets can export your client list as a CSV file (Square, Vagaro, Fresha, Excel, Google Sheets). Luvira reads files separated by commas or semicolons, up to 5,000 rows at a time.
Open the import
Choose Administration → Import and stay on the “Customers” tab. Choose the CSV file or paste its content.
Map the columns
Luvira suggests which column is the name, first and last name, email, phone, address, notes and “Client since”. Change any match that is off, or set a column to “don’t import”.
Pick the format
Choose how dates and phone numbers are written: United States (MM/DD/YYYY, numbers without a country code are US numbers) or Germany (DD.MM.YYYY). Luvira preselects the one for your salon’s country.
Check, then add
Select “Check”. You see every row as New, Duplicate or Error with the reason. Then select “Add … records” — only the new rows are added.
Import contacts from screenshots
Moving from another booking app or from your phone’s contacts? Take screenshots of the client list there and let Luvira read them.
Open the import
On the client list select “Import”. The window is called “Screenshot import”.
Add the pictures
Drop screenshots into the field, click to choose them, or paste with Cmd+V or Ctrl+V. PNG, JPG and WEBP work.
Let Luvira read them
Select “Analyze”. Luvira lists every contact it found with name, phone and email.
Check and import
Correct a field or remove a contact you don’t want, then select “Import … contacts”.
Duplicates
If the same person ended up twice — once from a booking, once typed by hand with another email — select both in the list and merge them. Appointments and notes of both records end up on one.
