Appointmentreminder emails
Luvira emails each client once before the appointment. It is on for new salons, set to 48 hours ahead, and you can change the timing or turn it off.

Change the reminder
Open the booking rules
Choose Services → Booking rules and scroll to the card “Appointment reminder”.
Switch it on or off
“Send reminder” controls every reminder of your salon at once.
Set the timing
Under “Hours before the appointment” enter how early it goes out. Keep it longer than your cancellation deadline: only then does the reminder carry the cancel button, and a slot cancelled early can be filled again.

New timing applies to every upcoming appointment that has not had its reminder yet.
Who gets a reminder
- Appointments with the status “Scheduled” or “Confirmed” and an email address on file.
- Online bookings and appointments you entered by hand alike — what counts is the email address on the appointment.
- Exactly once per appointment — Luvira notes when the reminder went out and never sends it twice.
No reminder goes to cancelled appointments, to completed ones or no-shows, or when the email address is missing. Luvira checks every hour, so a reminder arrives within the hour after the chosen time.
What the email says
The subject reads “Reminder: your appointment at” followed by your salon name and the date. The email lists the service, the person, date, time and duration, your address and phone number, and — if you set a cancellation deadline — “You can cancel free of charge up to … hours before your appointment.”
Clients cannot reply to it; the email asks them to contact you directly, with your phone number for the quickest way.
If the cancellation deadline has not passed when the reminder goes out, it also has a “Cancel or reschedule” button that lets the client cancel online. That is why the reminder goes out 48 hours before by default — a day before the default 24-hour deadline. Without a saved timing it always leaves a day before your deadline (a 48-hour deadline means 72 hours). If you set the timing yourself to the deadline or later, the reminder carries no button — only the note with your phone number.
The heading follows the calendar: “See you later today!” for an appointment the same day, “See you tomorrow!” for the next day, and the date for anything further out.
